A fantastic opportunity has arisen for an experienced Event Manager to join our team. You will:

  • Manage a portfolio of pre-defined leading industry awards, conferences and bespoke marketing solutions events on time, below budget, and to the required standard – ensuring that brand values are met
  • Drive continual improvement, event growth and best practice across all events
  • Manage internal and external customer relationships with critical/key and strategically important sponsors, speakers and delegates, acting as a point of contact.  Problem solving, decision making and escalating issues as they arise
  • P&L responsibility for allocated events, managing the costs, reporting variance and ensuring that events remain within/lower than budget
  • Take an active role in coaching and mentoring junior team members to ensure that the overall team are working to EMAP standards, values and processes
  • Manage speakers, sponsors and delegate journey pre, during and post event to ensure that the overall experience is positive, exceeds expectations and Net Promoter Scores (NPS) are increased
  • Work closely with editorial and commercial teams to help identify and shape bespoke projects through research, venue finding, marketing and customer acquisition
Key Accountabilities: 
  • Build strong relationships with each brand’s editorial, commercial and marketing  team and gain an understanding of the brand values and key drivers for their events and how operations impact on achieving their goals  
  • The role will work on events jointly with the events team, together they  are responsible for ownership, accountability and reporting for all logistical elements of the allocated events

Within the team:

  • Liaise with speakers from the time the event programme is completed, ready for marketing, right through to post-event – providing information, dealing with queries, chasing for presentations, arranging any travel, accommodation or fees necessary. Regular communication with other relevant departments (e.g. production and sponsorship) on event format and communicating any changes clearly and concisely as necessary
  • Liaise with all confirmed sponsors from the time of signed contract to post event, ensuring that all deliverables and objectives are met and the business relationship is closely managed to guarantee repeat business
  • Manage all delegate correspondence in the lead up to the event – updating attendees with event programmes, speakers and venue information as necessary 
  • Manage sponsored breakout sessions, masterclasses and lunches to ensure that the preferred audience are attending, sending out invites and updating responses
  • Provide suppliers with event briefs for production, staging, signage, event guides and filming (where necessary) to ensure that everything is on brand and all sponsorship is profiled correctly
  • Provide venues full set up details, floor plans, health and safety information, up to date programme within pre-defined time scales  to ensure costs match the expected number of attendees
  • Update the profit and loss file with all costs, ensuring that all estimates and quotes are updated immediately, to guarantee that events remain within or below budget at all times
  • On the day management of speakers, sponsors and customers, problem solving as required – some UK and international travel and overnight stays may be required
  • Carry out post event feedback, collecting NPS for each allocated event.  Work towards improving scores year on year by providing excellent customer experience for speakers, sponsors, delegates and internal stakeholders at all times  
  • Schedule and run debrief meetings after each event with all key stakeholders
  • Report to the Senior Event Manager key issues and performance of up and coming events so that the information can be discussed at weekly trading meetings
  • Work closely with event sales/production/marketing teams to ensure operational and logistical aspects underpin and support the strategic aims of the events
  • Assist the Senior Event Manager to coach, mentor and motivate  junior team members in best practice processes to deliver high quality events
  • Undertake projects as requested by the Head of Operations and Senior Event Manager to ensure that all EMAP events stay ahead of competitors and profile innovative and creative formats and technologies
  • Carry out additional tasks as requested by Head of Operations/Senior Event Manager or the brand Managing Directors which facilitate and support the growth of EMAP, which may not be specified in your job description
  • Recruit and manage key industry judges for awards programmes through invitation, liaison and management of their tasks and the judging days
  • Assist where necessary the research of judges for key awards categories through assistance by editorial, research through the internet or through stakeholder relationships within the industry
  • For bespoke events, research and source speakers for key events such as the NCE100
  • For bespoke client events liaise with the key internal stakeholders to manage and fulfil the client’s requirements.  This can be through inviting key customers to attend the event, researching and writing proposals for venue options and providing timely updates to the client. You will be expected to drive the project and be responsible for the delivery of the event from conception to close
  • Manage the relationship with key clients for bespoke events through regular updates, attending meetings, writing event proposals and schedules and being the key contact for any information
  • Degree level education or equivalent
  • Minimum 3 years event experience
  • Demonstrable knowledge of managing costs within a budget
  • Advanced literacy and numeric skills required
  • Excellent interpersonal skills
  • Computer literate
  • Negotiation skills
  • Conference and awards experience preferred
  • Experience of NPS would be an advantage
  • Experience of risk assessments/health and safety/contingency planning
  • Client management would be preferred
  • Must be familiar with general computer use including Microsoft Word, Excel, PowerPoint and Outlook
  • Must be familiar with event IT solutions
  • Experience of Salesforce would be an advantage
