EMAP is looking for an enthusiastic individual with a minimum of 2/3 years events experience to join the fashion, architecture and building services operations team as an event manager.

The event executive key objectives are:

  • Operational management of several bespoke client events from conception to completion including roundtables, dinners and receptions
  • Be accountable and manage all aspects of a range of live and digital events including awards, conferences and festivals
  • Ensuring standards are kept exceptionally high across all areas of delivery whilst maintaining efficiency and cost effectiveness
Key Accountabilities: 

General:

  • Drive continual improvement, event growth and best practice across all events
  • Manage internal and external customer relationships with critical/key and strategically important sponsors, speakers and delegates, acting as a point of contact.  Problem solving, decision making and escalating issues as they arise
  • Cost budget management for allocated events, including cost review, forecasting, reporting variance and ensuring that events remain within/lower than budget
  • Take an active role in coaching and mentoring junior team members to ensure that the overall team are working to EMAP standards, values and processes
  • Manage both internal and external stakeholders journey from conception to completion to ensure that the overall experience is positive, exceeds expectations and Net Promoter Scores (NPS) are increased
  • Build strong relationships with each brand internal stakeholders and gain an understanding of the brand values, market and the key drivers to achieve their goals 
  • Undertake projects as requested by the Head of Operations and Senior Event Manager to ensure that all EMAP events stay ahead of competitors and profile innovative and creative formats and technologies
  • Carry out additional tasks as requested by Head of Operations/Senior Event Manager or the brand Managing Directors which facilitate and support the growth of EMAP, which may not be specified in your job description
  • Assist the Senior Event Manager to coach, mentor and motivate junior team members in best practice processes to deliver high quality events

Awards, Conferences & Festivals:

  • The role will be supported by an event executive and together they are responsible for ownership, accountability and reporting for all logistical elements of the allocated events
  • Manage and liaise with all confirmed sponsors from the time of signed contract to post event, ensuring that all deliverables and objectives are met, and the business relationship is closely managed to guarantee repeat business
  • Create tender documents and effectively manage the tender process for any new suppliers
  • Provide all suppliers with comprehensive events briefs to ensure that everything is on brand and all sponsorship is delivered correctly
  • Provide venues with full and comprehensive requirements including health and safety information within a pre-defined time scale to ensure costs match the expected number of attendees
  • Update the event budget with all costs, ensuring that all estimates and quotes are updated immediately, to guarantee that events remain within or below budget at all times
  • On the day management of events for all stakeholder’s, problem solving as required
  • UK and international travel and overnight stays may be required
  • Carry out post event feedback, collecting NPS for each allocated event.  Work towards improving scores year on year by providing excellent customer experience for stakeholders at all times 
  • Schedule, provide analysis and run debrief meetings after each event with all key internal stakeholders
  • Report to the Senior Event Manager key issues and performance of up and coming events so that the information can be discussed at weekly trading meetings
  • Work closely with all internal stakeholders to ensure operational and logistical aspects underpin and support the strategic aims of the events

Client Events (Marketing Solutions / Bespoke):

  • Managing the entire events delivery process from contract stage to post event follow up and deliver projects on time and on budget
  • Work with editorial and commercial teams to design new and effective solutions for clients
  • Sourcing suitable venues and briefing them thoroughly. Employing third party caterers and A/V suppliers when necessary
  • Putting in place tailored event marketing strategies to drive pre-registration and increase attendance for each event
  • Working closely with the commercial teams to ensure events are successfully delivered to agreed contractual requirements
  • Developing sustained and independent relationships with customers and managing their requirements and expectations through the event/project management process
  • ‘Managing away’ sales people from logistical tasks by proactively keeping clients up-to-date and pre-empting their queries; putting together FAQ sheets
  • Developing strong relationships with editorial teams to encourage integration, good communication and smooth running of the project
  • Gaining trust from editorial teams in delivering projects and ensuring the best content is produced for events whilst keeping customers’ expectations in mind
  • Mentoring junior members of the team with new projects and supporting them in the run up and on site
Experience: 
  • Event professional with a minimum of 2/3 months experience working in a fast-paced events environment
  • Experience working on awards, conferences and small events
  • Experience of managing relationships with sponsors/clients and delivery of their requirements
  • Experience working in B2B media desirable but not essential
  • Proven event management experience
  • Experience of managing and forecasting budgets

IT Experience:

Good working knowledge of Microsoft Office Suite and Outlook
Experience of working on digital events and systems to deliver them
