Events Code of Conduct

Purpose:
emap is dedicated to fostering positive and enjoyable experiences for all participants in our events. The purpose of this Code of Conduct is to establish a secure, respectful, and inclusive environment for everyone involved in our events.
Scope:
This Code of Conduct applies to all individuals participating in any aspect of our events, including physical and virtual gatherings and judging events.
Key Principles:
We aim to create an environment where everyone feels welcomed, valued, and safe, free from harassment, bullying, humiliation, pressure, intimidation, or injury. All participants are expected to act professionally and exhibit respect in person at the event and in any interactions before or after.
Unacceptable Behaviours:
Our events have a zero-tolerance policy with regards to behaviour or language that may be perceived or deemed as harassment, discriminatory, bullying in nature, offensive, constituting physical or verbal abuse, or any form of inappropriate conduct. Examples include sexist, racist, or exclusionary comments, sustained interruptions, unwanted physical contact, offensive comments related to various attributes, sharing inappropriate content, and belittling or insulting others.
Our events are business events and attendees are expected to behave in a professional manner.
Duty of Care:
All attendees have a responsibility to ensure their safety and that of others. This includes consuming alcohol responsibly at in-person events. Drug or alcohol misuse is strictly prohibited, and violators will be immediately ejected from the venue, with the possibility of police involvement.
Reporting an Incident:
Attendees are requested to report any inappropriate behaviour or concerns regarding their welfare or the welfare of others to a member of the emap events management team. This can be done either during or after the event and will be treated confidentially. Detailed information about the incident, including the perpetrator’s description, behaviour, time and place, witnesses, and any relevant details, should be provided.
Anyone who is made to feel uncomfortable at an emap event should raise this as a matter of urgency either with the venue staff, or with any member of the emap event management team.
Possible Outcomes:
Our response to reported incidents may include addressing the issue with the perpetrator, issuing a warning, informing venue security, expulsion from the event, involving law enforcement, or preventing the perpetrator from attending future events.
During the event itself, anyone found to be behaving inappropriately may be asked to leave by venue security, and a subsequent investigation will take place.
Minors at events:
As a general rule, individuals under 18 years of age are not permitted to attend emap events without prior written consent. Should you wish to request the attendance of a minor at an emap event, please contact the emap event management team in good time in advance of the event.
Use of media at emap events:
Our events will be photographed and filmed. Photographs and videography will be shared on the event website and may be used in promotional marketing, social media, and printed collateral. By attending the event you are consenting to being featured in this content. If you wish to avoid being photographed, please remove yourself from any group photograph scenarios and make yourself known to the photographer in the room. If you notice any imagery online in which you feature, you may email the event manager after the event and request the removal of the image. Requests will be dealt with on a case-by-case basis.
Summary:
We strive to create a safe, inclusive environment at our events, relying on the cooperation of all participants. In case of harassment, this Code of Conduct provides guidance and a mechanism for the emap events management team to address the situation promptly. Reporting misconduct is confidential, with no repercussions for the reporter. We encourage anyone witnessing or experiencing inappropriate behaviour to report it in good faith.
By registering for or attending an emap event, you agree to comply with this Code of Conduct.
